Cancellation Policy
If you need to cancel your booking or any part of it for any reason, minimum cancellation fees may apply regardless of the reason for cancellation and subject to higher third-party cancellation fees.
- 61 days or more before departure: 15% of the full price.
- 60 to 46 days before departure: 30% of the full price.
- 45 to 15 days before departure: 70% of the full price.
- 14 days or less before departure: 100% of the full price.
Third-Party Cancellation Fees
Third parties contracted or confirmed on your behalf, including lodges, hotels, airlines, and other suppliers, may have cancellation penalties higher than Wild Roots Expeditions’ own fees. In those cases, the supplier cancellation policy may supersede these minimum fees and the additional fee may be added. Supplier cancellation fees may apply even if the supplier has not yet been paid. Flights booked on your behalf are often non-refundable when the lowest fare is selected.
Force Majeure
In a force majeure or vis maior event such as war, pandemic, natural disaster, or another unforeseen event that makes it impossible to fulfil obligations, the first priority will be to reschedule or postpone the trip without penalty where possible and subject to supplier penalties. If postponement is not possible, you may be asked to claim the trip cost from travel insurance. If an insurance claim is rejected, Wild Roots Expeditions will refund only the money actually recovered from suppliers, less non-refundable services rendered and costs already incurred.
Risk of Loss
Wild Roots Expeditions will not absorb losses on your behalf due to third-party cancellation fees, supplier failures, exchange rate fluctuations, visa or travel document problems, flight cancellations, missed flights, delays, lost baggage, transport delays, bad weather, illness, family matters, bereavement, pandemics, disease outbreaks, natural disasters, or other circumstances that require cancellation or amendment before or during travel. You must purchase comprehensive travel insurance with adequate cancellation and curtailment cover.
Refund Policy
Refunds are subject to the cancellation policy and supplier cancellation policies. When a refund is requested, the preferred order of response is to reschedule or postpone first, then claim from travel insurance if rescheduling is not possible, and then refund only the net amount recovered from suppliers where an insurance claim is denied or insufficient.
Weather-dependent or supplier-dependent activities may need to be cancelled. If possible, the activity will be rescheduled. If rescheduling is not possible, Wild Roots Expeditions will try to secure a refund or partial refund from the supplier. If the supplier does not refund, Wild Roots Expeditions may not be able to refund you. Refunds recovered from suppliers may be reduced by administration and transaction fees. No refund is normally made for missed flights or transfers, late arrivals, no-shows, or last-minute amendments requested by you.
Refunds can normally be made only in the currency and payment method originally used. Bank charges, credit card merchant fees, and exchange rate fluctuations may reduce the amount received.
